TUG 2025 in Trivandrum—Advice for presenters
The conference room at TUG'25 will have a
projector and a large screen to show your slides to the in-person
audience. The talks will also be streamed live (publicly available, no
charge) on the TUG YouTube
channel, and be recorded for permanent archiving, except for the TUG
Annual General Meeting, which will not be streamed or recorded.
- You cannot use your own laptop.
All needed files must be provided before the talk so that they can be
copied to the laptop connected with the projector and the YouTube
stream.
- You can provide the files needed for your presentation either
by uploading (the
username/password are in the document you should have received
separately) or email to
tug2025@tug.org. Please upload by July 16.
- The preferred format for slides is PDF.
- The best aspect ratio is 16x9. When using the LaTeX
beamer class you get this with
\documentclass[aspectratio=169]{beamer}. The absolute page
size will then be 160mm x 90mm.
- The room is not completely dark, so please ensure that your slides
have a good color contrast and use a large, readable font. If you
include bitmaps (e.g. a screenshot) do not forget that they can look
blurry when scaled up for a large screen, so use the highest original
resolution possible.
- For demos, it is possible to show videos (including audio).
Please provide them as .mp4 or .avi files along with
the talk. Links will (probably) not work! Live demos are not possible.
- If you have multiple videos, please either number them (1, 2, 3,
…) or name them in a simple way (DUCKS if they show ducks etc.)
and add the number/name into the slides (“Play DUCKS here”)
so that the technician knows which to play when.
- For remote talks, pre-recording is necessary. We aim at opening a
Zoom or similar call for questions after the talk; we'll provide precise
instructions later. To this end, please fit your video under 25
minutes, to ensure that there is time to open and hold the Q&A
session. Questions can be taken from either in-person attendees or via
text on the livestream from online participants. If you have troubles
making the recording, let us know and we will help if we can.
- Please send the files at least three days before the conference
(earlier if possible), so that they can be tested and everything can be
prepared as well as possible.
- Please bring a memory stick with your files to the conference as a
backup!
If you have any questions or special needs, please email email us as soon as possible.
