TUG 2023 in Bonn—Advice for presenters
The conference room at TUG'23 will have a
projector and a large screen to show your slides to the in-person
audience. The talks will also be streamed live (publicly available, no
charge) on the TUG YouTube
channel, and be recorded for permanent archiving. The AGM will not
be recorded.
A local firm will provide the needed equipment, including a camera that
can show the presenter and microphones. A technician from the firm will
be on site to manage the details.
- You cannot use your own laptop.
All needed files must be provided before the talk so that they can be
copied to the laptop connected with the projector and the YouTube
stream.
- The preferred format for slides is PDF.
- The best aspect ratio is 16x9. When using the LaTeX
beamer class you get this with
\documentclass[aspectratio=169]{beamer}. The absolute page
size will then be 160mm x 90mm.
- The room is not completely dark, so please ensure that your slides
have a good color contrast and use a large, readable font. If you
include bitmaps (e.g. a screenshot) do not forget that they can look
blurry when scaled up for a large screen, so use the highest original
resolution possible.
- It is possible to show videos. If at all possible, please
provide them as .mp4 files. Links will (probably) not work!
- Talks that cannot be given in person must be prerecorded and
provided in advance as .mp4 files. While it is possible to open
a Zoom session for remote presenters, this can disturb the outgoing
YouTube stream, so this will be done only for the questions after a
talk. Questions can be taken from either in-person attendees or via text
on the livestream from online participants.
- Please send us all files needed for your presentation, either
by uploading (the
username/password are in the document you should have received
separately) or emailed to tug2023@tug.org.
- Please send the files at least three days before the conference,
so that they can be tested and everything can be prepared for a
faultless presentation. The sooner, the better.
- Please bring a memory stick with your files to the conference as a
backup!
If you have any questions or special needs, please email tug2023@tug.org
as soon as possible.
