Dear Ashim,
 
If it doesn't work, you can just add the path, like so:
 
Scenario 1:
 
/ourfiles/myfiles/file1
/ourfiles/file2
 
\externaldocument{/myfiles/file1}
 
 
Scenario 2:
 
/myfiles/file1
/ourfiles/file2
 
\externaldocument{../myfiles/file1}
 
.. is what you'd do on a command prompt with cd..
